Role
We are an innovative humanoid robotics company based in Italy looking for a Regulatory Certification & Documentation Specialist to support the certification activities of our robot and our company. You will work closely with the founders, engineering team, and external advisors to plan and execute certification paths and to build the technical and quality documentation needed for audits and approvals.
Responsibilities
* Support for external laboratories in conducting product certification testing (e.g., EMC, RED, thermal, etc.)
* Support the coordination and tracking of all certification activities for the humanoid robot and the company (planning, timelines, required documents, interactions with notified bodies / certification authorities).
* Work with engineering and product teams to collect the information needed for technical files, risk analyses, test reports, and other certification deliverables.
* Design, write, and maintain internal procedures and “reference practices” describing how key processes are executed (development, testing, quality checks, field support, etc.).
* Ensure that documentation and processes are aligned with applicable standards and regulatory frameworks (e.g. ISO standards and product specific regulations for humanoid and collaborative robots).
* Implement basic document control (versioning, approvals, traceability) so that documents used for certification are always consistent and audit ready.
* Support internal and external audits: prepare documentation packages, respond to document requests, and follow up on corrective actions.
* Act as one of the internal points of contact for certification bodies, notified bodies, and external consultants regarding documentation and processes.
Requirements
* Technical background (e.g., degree in Mechanical, Electrical, Electronic Engineering, etc.)
* 3+ years of experience in regulatory, quality, or certification roles in a technology or industrial company (robotics, medical, industrial automation, software, etc.).
* Hands on experience preparing documentation for product and/or company certifications (e.g. conformity assessments, ISO certifications, UNI documentation, or similar).
* Strong skills in writing clear, structured technical and process documentation.
* Excellent Italian and English; comfortable interacting with Italian authorities/bodies and preparing documentation that can be used internationally.
* Organized, proactive, and able to support the coordination of multiple stakeholders (engineering, founders, external consultants).
* Availability to travel nationally and internationally is expected.
Valued Extras
* Previous experience with certification of robots or mechatronic systems.
* Experience with ISO 9001 or similar quality management systems.
* Familiarity with safety standards and risk management for machinery/robots (e.g. standards for collaborative and service robots).
