Reporting to: Office Manager
For our client, a dynamic Consultancy Company, we are seeking a proactive and highly organized Executive Assistant to provide comprehensive support to senior executives. This role is critical in ensuring seamless operations and requires a professional who is detail-oriented, adaptable, and capable of managing multiple priorities. The successful candidate will work closely with senior leadership and collaborate with internal and external stakeholders.
Key Responsibilities
* Provide full administrative support to Partners and Managing Directors, ensuring their schedules and tasks run smoothly.
* Manage complex calendar arrangements, including the organization of internal and external meetings, and handle associated logistics.
* Coordinate travel arrangements and administer expense reports in a timely and efficient manner.
* Collaborate with the Office Manager and other Assistants to ensure efficient office operations, and provide coverage during holidays or absences.
* Support business development activities by organizing client-facing events, team-building activities, and internal meetings.
* Produce, design, format, and collate high-quality documents using Microsoft Word, Excel, and PowerPoint.
* Identify opportunities to streamline processes and implement improvements.
This is a dynamic role that may involve a variety of tasks depending on the needs of the team and senior executives.
Personal Competencies
* Experience: Minimum of 5 years of experience as an Executive Assistant supporting senior executives, preferably in a global professional services environment.
* Organizational Skills: Exceptional ability to prioritize, multitask, and meet structured deadlines.
* Language Skills: Excellent verbal and written communication skills in both Italian and English.
* Technical Proficiency: Advanced knowledge of Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
* Proactivity: A self-motivated individual with a can-do attitude who takes the initiative to anticipate needs and solve problems.
* Interpersonal Skills: Team-oriented with excellent interpersonal skills, capable of building strong relationships at all levels of the organization.
* Attention to Detail: High level of accuracy in all tasks, including handling sensitive information with discretion and confidentiality.
