PbPOSITION SUMMARY: /b /ppThe Junior Clinical Medical Affairs (CMA) EMEA Assistant will assist with CMA administrative duties across the EMEA countries. The post will play an important role in facilitating HCP interactions and Medical Education Grants in line with Teleflex Compliance Policies. The role will include planning, submitting and following up on HCP interactions for education courses and consultancy for EMEA using the company’s online compliance system to ensure that the business unit Interventional in EMEA has HCP interactions processed in adherence to Teleflex compliance policy in line with the Medtech ethical code of business compliance regulations. The role whilst working within CMA will require cross divisional working to ensure CMA, Marketing and Sales have HCP interactions that are correctly submitted and approved and audited in line with Medtech Europe Code of Ethics. The post will involve close working and collaboration with the compliance department. The role will involve general supervision performing a variety of tasks and handles a wide range of situations involving clerical and administrative functions to support the department. /ppbr/ppbPRINCIPAL RESPONSIBILITIES: /b /pp• Plan and input HCP interactions for Education and Consultancy events for EMEA into the online HCP computer interaction portal. /pp• Manage the IT platform for contracting consultants at every stage of the process. /pp• Submit, assess Fair Market Value (FMV), allocate HCPs, Statement of Works and generate Master Service Agreements for HCP interactions in line with Teleflex HCP Compliance policies. /pp• Support CMA, Marketing Commercial team with planning and executing HCP interactions which are in line with Medtech Code of Ethical Compliance regulations. /pp• Support Medical Education Grants (MEG) submissions and liaise accordingly with business divisions and submitters to ensure appropriate documentation is available for MEG panel. /pp• Produce Letters of Agreements for MEG and assist MEG panel to achieve Medical Education Grant Integrity code policy if required. /pp• Produce necessary audit reports for Teleflex Compliance Department. /pp• Analyse office management and administrative problems in order to devise workable solutions. /pp• Read, understand, apply, and explain standards, policies and procedures. /pp• Recognize problems and devise effective course of action. /pp• Establish and maintain effective working relationships with peers, vendors and customers. Complete administrative duties as assigned including: scheduling appointments, coordinating meetings, booking travel, maintaining calendars, ordering supplies, creating expense reports, maintaining files and preparing correspondence and reports. /pp• Meet deadlines; work independently with appropriate supervision. /pp• Work effectively under stress and in emergency situations. /pp• Review HCP invoices expenses for accuracy against sign-in sheets along with inputting into payment reconciliation on the system, /pp• Maintain accurate records, follow up on paperwork/contracts for professional programs, as directed. /pp• Edit powerpoint presentations as directed. /pp• Log and track HCP contracts and paperwork, following up as appropriate/directed. /pp• Collaborate communicate effectively across CMA, Marketing Sales team and remain compliant to Teleflex HCP policy and legal education requirements. /pp• Other assigned duties and responsibilities as required by CMA objectives. /ppbr/ppbEDUCATION / EXPERIENCE REQUIREMENTS: /b /pp• Higher Education qualification preferred. /pp• Qualification in Office Administration preferred. /pp• Excellent oral and written communication skills with a demonstrated ability to interact effectively with individuals at all levels in the organisation required. /pp• Accurate typing and data entry skills required. /pp• Proficient in Microsoft Office with emphasis on Word, PowerPoint, Excel and Outlook. /pp• Experience of using computer online systems and data inputting. /pp• Strong attention to detail required. /pp• Exhibits strong time-management and organizational skills. /pp• Post on occasion may require some travel abroad. /ppbr/ppbSPECIALIZED SKILLS OTHER REQUIREMENTS: /b /pp• Essential Fluency in verbal and written English and ideally Italian native speaker. /pp• Knowledge of another European language will be considered a plus. /pp• Previous administrative management requirements will be considered a plus. /ppbr/ppbCULTURE: /b /pp• Customer Experience – Representing Teleflex in a customer facing position is a tremendous responsibility and opportunity.
