Position in the organization
The Administrative Assistant (AA) is an employee of a third-party provider, executing administrative and corporate tasks on behalf of the Flight Operations Country Manager (FOCM). The AA supports the Cabin Crew Base Manager (CC BM) duties and provides administrative and clerical services to ensure effective and efficient operation.
Responsibilities
The AA is responsible for:
* Managing HR issues (newcomers, exits, contract distribution, record keeping of tests/upgrades, meeting minutes, warnings, etc.) for the crew at their base;
* Ensuring proper communication flow between Cabin Crew (CC), Base Manager (BM), Flight Crew (FC), FOCM, and other involved parties;
* Handling incoming post and documents from crew and external sources, directed to BM, ABM, FOCM, or other parties;
* Sending post to HQ in Budapest or other bases as requested;
* Collecting and checking expense and travel claims, leave requests, and sick leave documents;
* Maintaining office supply inventory and equipment;
* Managing company benefits, parking cards, and transportation allowances;
* Updating the base guide and organizing shredding according to company policies;
* Handling Cabin Operation forms related to incidents during duty;
* Ensuring flight envelope documents are stored for 3 months after flights and properly destroyed afterward;
* Following up on delay codes and reporting on-time performance to FOCM;
* Administering uniform distribution and handling related complaints;
* Managing COVID-19 related paperwork, updates, and travel documents as per government requests.

Minimum skills and competencies include:
o Understanding safety principles related to aircraft operations;
o Knowledge of departmental policies, procedures, and processes;
o Excellent communication and organizational skills;
o Strong problem-solving and time management skills;
o Proficiency in English (both written and spoken);
o Computer literacy (MS Office: Outlook, Word, Excel, PowerPoint);
