We are looking for a Administrative Services Associate, Receptionist for our two offices based in Lucca, that serves visitors welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains security and telecommunications system, enhances effectiveness by providing information management support. - Type of contract: fixed term ( 12 months), Full time. - Essential Duties and responsibilities: - Directs visitors by maintaining employee and department directories and giving instructions, also english speaking- - Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable- - Maintains security by following procedures, monitoring logbook, issuing visitor badges.- - Maintains department schedule by keeping calendars, arranging meetings, conferences, teleconferences, and travel.- - Assist colleagues with administrative tasks when needed- - Keeps continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.- - Organizes work by reading and routing correspondence, collecting information, initiating telecommunications- - Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.- - Provide excellent customer service- - Prepares reports by collecting information- Job Qualifications: - High school diploma- - Verbal and written communication skills.- - Superior customer service skills- - Working knowledge of Microsoft Office, specifically Excel, Outlook, Word, and Microsoft Teams- - Great attention to detail and the ability to multi-task.- - Data entry skills.- - Fluent in Italian and good knowledge of English
