Position

Event & Project Assistant (3–4 years of experience)


Responsibilities

* Event support
o Planning, coordinating, and managing logistics for events, workshops, and round‑table sessions.
o Managing relationships with suppliers, partners, and venues (hotel, transport, catering, technical services).
o Providing active on‑site and virtual support during events.
o Preparing and updating presentation materials and documentation for internal meetings and client encounters.
* Project & secretarial support
o Handling correspondence, drafting, and reviewing documents for internal and external communication.
o Managing schedules, appointments, and travel arrangements.
o Supporting transversal project‑team activities.
* Administrative documentation
o Entering orders and expense reports.
o Verifying payments and assisting AFC controls.
o Recording contracts and documents in corporate databases.
o Monitoring contractual and administrative deadlines.
o Digital and paper filing.
* Reporting & promotion
o Drafting and sending newsletters and promotional materials.
o Supporting webinar organization.
o Generating activity reports on proprietary systems.
o Maintaining lists, registries, and databases for communication initiatives.


Requirements

* Diploma or university degree.
* 3–4 years of experience in events, project management, or secretarial organisation.
* Proficiency in MS Office, especially Excel and PowerPoint.
