The team of assistants will handle activities involving internal and external stakeholders, as well as staff administrative tasks /li liAct as the operational point of contact for all departments within ROC Italy. /li liFulfil a dual role: supervising and directly managing activities both personally and through the team, according to operational needs. /li liMonitor and ensure that the team bases its activities on processes, templates and operational SOPs, guaranteeing standardisation and continuous improvement. /li liOversee the schedule, deadlines and deliverables of cross‑functional projects with regular reporting. /li /ul pThe responsibilities and activities of the Team Project Coordinator and the team of assistants include, but are not limited to, the following: /p h3Activities towards internal stakeholders /h3 pManage all office‑related activities, including the management and preparation of meeting rooms, the organisation of internal meetings (including support in organising national meetings), and organisational coordination with global and external stakeholders. /p h3Internal communication /h3 pFoster alignment and engagement among all colleagues through updates and digital channels – intranet, newsletters, town hall meetings, and disease‑specific awareness days /p h3Conferences and educational events – Supervision and operations /h3 ul liOverseeing conferences and educational events (ECM/non‑ECM) related activities performed by Norgine external congress management partner: liaising with secretariats, AIFA checks and updating congress management systems. /li liDirect management of purchase orders and uploads to operational systems. /li liManagement of travel and hospitality for guests, including selection and negotiation with agencies. /li liSupport for Farmindustria certification and attendance at audits where required. /li /ul h3Activities involving external stakeholders (supervision operations) /h3 ul liSupervision and support for the organisation of focus groups, market research, advisory boards, consultancy and sponsorship. /li liEnd‑to‑end management of contractual processes: liaising with suppliers/associations/professionals, preparing documentation, collecting signatures and archiving. /li liPurchase order management: supplier onboarding, issuance and follow‑up, checks and budget file management. /li liTracking grant requests and liaising with HCPs and scientific societies regarding the contacts necessary to complete the administrative and contractual process. /li /ul h3External communication /h3 pSupporting the visibility of the company’s image to external stakeholders – e.g. Norgine Italia website, LinkedIn, etc. /p h3Promotional Materials Logistics – Operational Supervision /h3 ul liManagement of shipments and requirements for conference stands. /li liDispatching materials to the sales force. /li liSupport with the approval process for promotional materials. /li liSupervision of promotional material stock reconciliation with DHL /li /ul h3Local IT Point – Operational supervision /h3 ul liLiaising with Global IT regarding PC fleet management and other IT support /li liManagement of relations with external consultants. /li /ul h3Personnel administration (supervision) – in line with HR /h3 ul liCompany car fleet (supervision of external supplier) /li liGeneral HR administration /li /ul h3Compliance Audit (support to BICM) /h3 ul liSupporting the operational, documentary and organisational management of compliance processes, facilitating the correct application of internal policies, codes and industry guidelines /li /ul h3Reporting, KPIs Continuous Improvement (supervision operations) /h3 ul liUpdating the events pipeline, budget vs actual, and supplier KPIs. /li liIdentifying opportunities for process optimisation and digitalisation. /li /ul h3Role requirements /h3 h3Education Experience /h3 pProven seniority in project/operations coordination within pharmaceutical companies. /p ul liProven experience in sales support and/or conference management within the pharmaceutical sector. /li liKnowledge of codes and regulations within the pharmaceutical sector /li /ul h3Soft skills /h3 ul liManagerial skills in team management and workload management. /li liCollaborative leadership and the ability to create a positive working environment. /li liProject management, prioritisation and a results‑oriented approach. /li liProblem‑solving and the ability to manage multiple projects in dynamic environments. /li liClear communication, negotiation and excellent customer service. /li liDiscretion and the ability to interact with all levels of the organisation. /li liConfidentiality in handling information /li /ul pOur benefits may vary per location.
