MissionThe Quotation Manager is responsible for leading the end‐to‐end quotation, tender, and bidding process for the Italian market, ensuring high‐quality, compliant, and economically consistent submissions. A key component of the role is the in‐depth analysis of tender documents and technical specifications, translating complex requirements into clear operational guidelines for the team and for all functions involved.The role also supervises the quotation activities for the Swiss subsidiary, which are partially managed through an outsourced partner based abroad, ensuring alignment with Manutan's commercial policies, compliance standards, and Group procedures. The position plays a central role in driving operational excellence, accuracy, and continuous improvement across all quotation processes.Responsibilities and missions
Team Management Lead and develop a team of specialists dedicated to quotations and tender management. Plan workloads and priorities, ensuring timely and compliant submissions. Support team members' development through coaching and skill enhancement. Promote collaborative practices and knowledge sharing.Tender & Quotation Process Management Oversee the complete tender management workflow, from initial document analysis to final submission. Conduct and supervise the structured review of tender documents, contracts, and technical specifications, identifying mandatory requirements, risks, gaps, and key deliverables for internal stakeholders. Translate tender specifications into clear execution guidelines for all contributing functions. Ensure compliance with pricing policies, margin targets, and competitive positioning rules. Validate the technical, administrative, and economic content of offers, ensuring completeness and alignment with tender instructions. Coordinate the outsourced quotation activities for the Swiss subsidiary, ensuring quality and adherence to procedures.Internal & External Stakeholder Management Collaborate closely with the Sales Director to define tender strategies, validate commercial positioning, and support decision‐making on complex bids. Collaborate with Sales, Purchasing, Finance, and Category Management to ensure coordinated responses to complex tenders. Provide strategic guidance on bid/no‐bid decisions based on tender analysis. Maintain strong relationships with operational teams to ensure feasibility and accuracy of commitments made to customerCollaboration with Purchasing Work closely with Purchasing to gather supplier documentation required for tender compliance and to support product/sourcing needs emerging from tender specifications. Ensure alignment between supplier conditions and the economic structure of the offer.KPI Monitoring & Continuous Improvement Monitor key KPIs such as conversion rates, margins, response times, and documentation compliance. Identify recurring issues in tender responses and implement corrective measures. Promote process efficiency through standardization and improved workflows.Information Systems & Digitalization Use Microsoft Dynamics and other corporate tools to manage the quotation workflow efficiently. Contribute to digitalization projects promoted by the Group, participating in the development of innovative process solutions. Promote operational efficiency through automation initiatives and process optimization.
