FIT in Florence is looking for a highly organized, bilingual professional to manage study abroad logistics, program support and budget tracking. This role uniquely blends administrative expertise with human-centric mentorship to help students successfully acclimate to their new environment.
Location: Florence, Italy (FIT in Florence) Contract: One year (renewable)
The Role Overview The Program Operations & Budget Assistant provides essential administrative and logistical support to ensure the operational integrity of the program. Focusing on the mechanics of global education—specifically budget tracking, vendor relations, and complex logistics—this position requires a collaborative spirit and clear, empathetic communication. We need a detail oriented individual to handle logistics who is also proactive with exceptional social skills to serve as a guide for students as they navigate their study abroad experience.
Key Responsibilities
- Financial & Budget Support: Monitor and reconcile budgets, process invoices, and manage data entry in Business Central to ensure adherence to institutional auditing standards.
- Operational Logistics: Research and execute complex site visits, including transport, lodging, and technical requirements for semester and interim programs.
- Student Acclimation: Use exceptional interpersonal skills to act as a primary resource for students, providing guidance to help them acclimate to life in Florence.
- Health & Emergency Response: Participate in the emergency phone rotation, responding to student needs with strict confidentiality during medical or urgent situations.
- Administrative Precision: Maintain digital workflows in Google Workspace and assist with cycles like orientation and housing logistics.
Who We Are Looking For
- Bilingual Expertise: Full professional fluency in Italian and English is mandatory.
- Meticulous Organization: A sharp eye for detail and the ability to manage multiple moving parts without losing focus.
- Strong Social Skills: An empathetic, approachable communicator who can act as a cultural translator.
- Composure: A solution-oriented approach in high-pressure or emergency situations.
- Eligibility: Must be legally authorized to work in Italy.
Requirements & Preferences
- University degree.
