Administrative Assistant
Position in the organization
The Administrative Assistant (AA) is an employee of a third-party provider, executing administrative and corporate tasks on behalf of the Flight Operations Country Manager (FOCM). The AA is responsible for supporting the duties of the Cabin Crew Base Manager (CC BM) and providing administrative and clerical services to ensure effective and efficient operations.
Responsibilities
The AA is responsible for:
* administration of HR issues (newcomers, exits, contract distribution, record keeping, tests/upgrades, meeting minutes, warnings, etc.) for the crew at their base;
* ensuring proper communication flow between Cabin Crew (CC), Base Manager (BM), Flight Crew (FC), FOCM, and other involved parties;
* handling incoming and outgoing post and documents related to crew and flight operations;
* sending post to HQ in Budapest or other bases as requested;
* collecting and verifying expense and travel claims, leave requests, and sick leave documents;
* maintaining office supplies and equipment;
* managing company benefits and transportation allowances;
* updating the base guide and organizing shredding as per company policy;
* handling Cabin Operation forms related to incidents during duty;
* storing flight envelopes for a minimum of 3 months post-flight and ensuring their destruction after this period;
* monitoring delay codes and reporting flight on-time performance to FOCM;
* administering uniform distribution and handling related complaints;
* managing COVID-19 related paperwork, distribution lists, and travel documents as required by government authorities.

Minimum requirements / Skills and competencies
- Detailed understanding of safety principles related to aircraft operations
- Knowledge of departmental policies, procedures, and processes
- Excellent communication and organizational skills
- Strong problem-solving and time management abilities
- Proficiency in English (written and spoken)
- Computer literacy (MS Office: Outlook, Word, Excel, PowerPoint)
- Previous office-related work experience is advantageous
