Job Description

We are looking for an Executive Assistant to provide administrative assistance to the assigned Industry Vice President of Global Industry Accounts and other management and staff to proactively enhance effectiveness. Responsibilities include professionally dealing with customers, composing correspondence, scheduling meetings, maintaining files, and handling confidential information with discretion. The role involves anticipating, obtaining, and preparing materials to keep the executive prepared for all scheduled activities.


Key Responsibilities:

* Support Meeting Planning & Preparation
* Arrange meetings, virtual, local, and offsite, ensuring all audio-visual equipment and network connection requirements are met. Arrange for refreshments and food as required. Coordinate and actively participate in staff meetings. Prepare agendas and meeting minutes. Distribute meeting minutes and actions to participants after the meeting, along with other reviewed materials. Maintain a database of meeting notes and materials for future reference.
* Support the regular cadence of the executive’s team meetings, including preparation, maintaining Teams sites, and communication for appropriate follow-up on action items.
* Create spreadsheets, charts, technical illustrations, graphics, and text for presentations using Microsoft Office tools and other company-specific systems (CRM, SAP, etc.), with minimal guidance. Presentations may include strategic planning, demand forecasts, quarterly reports, and leadership reviews.


Support Communication & Organization of Key Priorities:

* Prepare and update calendars and daily schedules for the executive(s).
* Serve as the primary contact for incoming requests, review, screen, and direct them appropriately. Provide prompt, customer-oriented service to callers and visitors, resolving requests independently when possible.
* Make decisions and act on behalf of the business leader during their absence, using judgment to address opportunities and customer requests.
* Monitor progress on commitments and assist in workload balancing among administrative staff, including backup support during absences.
* Establish and maintain strong, collaborative relationships across the organization to effectively execute duties.


Support Travel Requirements:

* Arrange domestic and international travel itineraries, ensuring passports, visas, and related documents are up to date.
* Assist with processing travel and expense documentation, working with the Travel and Entertainment Department.
* Ensure compliance with company policies and procedures, including standards of conduct, intellectual property, information protection, ISO standards, and government regulations.


Skills, Knowledge, Experience, and Education:

* High school diploma or equivalent; a business or marketing degree is a plus.
* Minimum of five years of related experience.
* Excellent verbal and written communication skills.
* Fluency in Italian and English is required; additional languages such as French and German are beneficial.
* Ability to manage multiple priorities and work in a collaborative environment.
* Attention to detail and ability to thrive in a fast-paced setting.
* Proficiency in Windows and Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
