About You We are looking for an Assistant Ground Operations Manager who is flexible, collaborative, self-starting, highly organized, with a keen eye for detail. Your role will be to ensure the day to day operations of our Rome Market runs smoothly. This person must have high energy, a "can do attitude," and must also embody City Experiences’ RESPECT Service System. About The Opportunity The Assistant Ground Operations Managerwill be responsible for the administration and operations of the market, reporting to our Ground Operations Manager for Rome. You will aim to provide direction, support and development to a team of local freelance coordinators, ensuring the delivery of high-quality guided tours and activities to a robust client base. This role will require strong organizational and multitasking skills, attention to detail and the propensity for dynamic and unique problem-solving. This role is perfect for you if you are not only an expert on your city, but that you also feel passionately about the sights and sounds it has to offer to our guests. This role will be based in our Rome office and will be responsible for supporting our continued growth through developing and nourishing long-term relationships with guides and coordinators in the Rome market. Responsibilities - Managing the day-to-day operations, being the local expert and main contact person for questions and support - Assist in finding solutions if itinerary changes are needed - Accounting: Cash & Ticket distribution as well as other expenses needed to run daily operations - Assist the Ground Operations Manager and Business Development Manager in the day-to-day interactions with local suppliers including transport providers, headset providers, sites and venues - Coordinator scheduling, switching and cancellations - Recruitment and onboarding of coordinators - Evaluation & Quality control: conduct regular tour evaluations - Training: individual development, workshops and group training for coordinators - Work with central teams in regards to product development, inventory, operational procedures & tour performance - Scheduling: manage inventory by scheduling/canceling coordinators to ensure optimal staffing - Procedures, Tour Outlines & Documentation: create and keep updated all relevant documentation - Payments & Refunds: Provide invoicing to Accounting Department to ensure collaborators and coordinators are paid in a timely and accurate manner - Communications & Support: Communicate all tour and policy changes to coordinators and provide support (emergency, issues, concerns) - Occasionally coordinate tours; printing or collecting tickets, checking guests in, resolving issues at the start of each tour, and filing reports on what took place - Work closely with our other Rome team members. Know where each others responsibilities lay and assist each other when needed - Some weekend work necessary Requirements: - At least 2-3 years of previous experience in administration or operations - Excellent organizational management skills - Experience in hiring, training and people management desired - High attention to detail required - Strong verbal, typing/writing and technical skills, and the ability to learn multiple systems in a fast-paced environment - Working knowledge of the hospitality and tourism industry is an advantage - Fluency in English and Italian - Familiarity with Google Suite, Asana, Slack Pay: €30,000.00 - €35,000.00 per year Application Question(s): - What is your level of proficiency in English? - What is your level of proficiency in Italian? - Do you have the required legal permission to work in Italy? - How many years of experience do you have in administration or operations?
