Are you looking for a challenging and dynamic environment where to build your professional career?

We are looking for an Assistant to join our headquarters at Sant’Agata Bolognese (BO). You will report hierarchically to the Director / Chief Officer.

You will be responsible to support the Director / Chief Officer in organizing agenda, meetings and activities by highlighting priority and requests coming from the overall Company with a proactive attitude.

You will be responsible to support the Director / Chief Officer in terms of collection and summary of the main issues that should be approved and decided by the Director / Chief Officer, executing also Project Management Office activities at Department level based on Chief Officer requests.

You will be responsible to perform the following activities :

Secretary activities

* Support Director / Chief Officer for agenda organization and planning
* Manage Director / Chief Officer communications (e.g. e-mail, phone call, mails, etc.) by following Director / Chief Officer guidelines
* Support Director / Chief Officer in meeting, video conference, phone call preparation and presentation
* Organize committee meeting minutes and to highlights Director / Chief Officer involvement in different topics
* Organize Director / Chief Officer travels and movement by interacting with competent persons for business travel

Project Management Office activities

* Project management activities for the department with the aim of supporting the Director / Chief Officer in monitoring the status, progress and repository of documents (i.e. ICS, Manager Folder, QMS, Policy). Providesupport during Audit activities and, based on requests by Director / Chief Officer, collects and prepares the necessary documentation for specific events (e.g. PPT presentation, off-sites)
* Prioritization of the points / topics to be brought to the attention of Director / Chief Officer coming from internal department or from external functions and authorities (first filter)
* Ensure that follow up of the topics discussed in Comitato Direttivo, Comitato Prodotto, or other executive committee are addressed to the 1^ Line of the department he / she belongs, coherently with the task and responsibilities of the role covered by the colleagues (follow up after minutes).
* Department's point-of-contact for internal requests (e.g. for workforce collection)

About you

* University Degree
* At least 3 years of experience as Assistant / Secretary
* Experience in Project Management Office
* Other languages as a plus, German highly preferred
* Precision and accuracy
* Ability to synthesise and prioritise
* Scheduling and Organizational skills
* Confidentiality
* Ability to handle pressure and critical times
* Empathy and outstanding interpersonal skills
* Clear and effective way of communicating
* Strong organizational skills and ability to multitask
