Job Description
We are seeking a skilled Receptionist to join our team. As a key member of the General Services Department, you will be responsible for providing exceptional customer service to visitors, clients, and colleagues alike.
* Accommodate visitors in a polite and courteous manner, both in person and over the phone;
* Manage incoming and outgoing correspondence and shipments according to internal guidelines;
* Monitor and respond to emails from various departments, including reception, information, personnel, and general services;
* Coordinate with the travel agency to handle last-minute travel requests and provide proactive support;
* Maintain a clean and organized reception area, as well as storage facilities, with the ability to move boxes;
* Ensure break areas and meeting rooms are tidy and stocked, coordinating with the manager on weekly or less frequent purchases;
* Oversee and coordinate the activities of the cleaning staff, sharing relevant information with the team, providing instructions, and reporting any difficulties to the Office Manager;
* Support event and meeting organization within the company (managing meeting rooms, setting up/disassembling catering, arranging seating/chairs/flipcharts…);
* Assist in managing and updating internal reports, counterfeit trademark investigations, and judicial notifications, following internal guidelines;
* Receive and verify invoices related to the department before forwarding them to the Office Manager, following internal guidelines;
* Support the Office Manager with tasks related to the company's vehicle fleet management;
* Purchase supplies for the office and branches (coffee, water, stationery, consumables for the break area) while controlling inventory and verifying orders;
* Manage and maintain all local units: coordinate and plan ordinary and extraordinary maintenance interventions with external providers, check open tickets, verify deadlines, and share information with local units;
* Periodically review access rights for PUMA Card employee cards (April and October);
* Provide assistance to internal departments for miscellaneous services such as printing, laminating/ringing materials, various notifications, and bank/office visits (possibility of performing external tasks).
Required Skills and Qualifications
* Belonging to Protected Categories;
* Administrative/Tourism studies;
* Minimum 2-3 years of experience in the role;
* Attention to detail and reliability;
* Problem-solving skills.
Benefits
Contract type: Determined or Indeterminate, following CCNL Commercio regulations, with a maximum RAL of €28,000 evaluated during the interview process.
Ticket restaurant value: €7.
Work schedule: 12:00 – 13:30 and 17:30, with flexibility for overtime if necessary.
Working hours: Monday to Friday, 9:00 am – 6:00 pm.
Leave policies and holidays will be discussed upon hiring.
