Field Office Administrator (FOA) The Field Office Administrator will join the Technical Assistance department at Varian Italy, with opportunities for growth and development. This role reports directly to the Country Service Manager and coordinates with the team supervisor. The administrator will handle activities such as invoicing, preparing quotes for medical devices according to company procedures, client specifications, and local regulations. The position is based at our Milan offices, with the possibility of smart working. Main Responsibilities: Monitor the quote submission process for formatting, completeness, consistency, and compliance with company standards, including regional platforms. Assist colleagues in gathering necessary information and data related to quoting and invoicing processes. Provide administrative support to district managers in administrative activities. Maintain accurate customer data within CRM systems (SAP, Salesforce Unity). Generate performance reports from CRM systems as required for management review. Perform various customer-facing functions to support service activities. Update on price list changes, product updates, deliveries, and service tariffs. Respond to common customer inquiries regarding standard service contracts, scheduling, and tariffs. Create new customer records, installations, and updates in the management system. Manage Data Privacy and Health & Safety administrative activities. Requirements: High school diploma or equivalent in administration or related experience. Proficiency in Excel, Word, and Outlook. Propensity for collaboration. Precision and process orientation. Fluent written and spoken English skills. Varian complies with all local and applicable vaccine regulations for certain roles.
