Your challenges
You will be joining a regional team of 7 colleagues with the overall objective to support a great employee experience by delivering seamless cross-border administration of core HR processes to 11 different VELUX sales companies in Italy, Spain, Portugal, Belgium, Netherlands, Great Britain, Ireland, Switzerland, Austria, Sweden and Norway.
Each team member is a subject matter expert for one or more countries, however through clear and standardized processes and a thorough knowledge database, all team members support cross-border on all standardized processes.
We are working remotely but located locally in the different sales companies we support. This set up requires that we are in daily close contact with each other through teams meetings, chat and e-mail to be able to maintain a strong team feeling and support the business in the best way possible.
You will be based in our local HR office in Italy, Colognola ai Colli close to Verona. However, as your manager and team colleagues are placed in other countries, some travelling activities may be required from time to time.
As our subject matter expert for HR and payroll processes in Italy has chosen to retire, we are looking for a new subject matter expert taking responsibility for correctly and efficiently handling tasks while also driving continuous improvements:
* Ensure correct end-to-end processes including compliance with local law and GDPR guidelines.
* Prepare legal documents e.g., contracts, addendums, termination letters and maintaining process for onboarding, hire, change and termination activities in our HRM system Workday.
* Handle process for maternity/paternity leave, long-term sickness etc.
* Deliver monthly payroll data to our local payroll provider, ensure data control and timeliness on salary payments
* Handle and answer questions from the business and HR colleagues related to terms and conditions of employment and Workday system processes.
* Participate in and/or provide support to larger tasks and projects, including when more extensive global processes are rolled out (e.g. wage adjustment process). Here, you contribute with your specialist knowledge from working with functions, data, etc., in HR Support.
During your first year with us we expect you to work up knowledge to develop into being the subject matter expert also for Spain and Portugal. Over time you will also be trained in providing standardized cross-border support to the other countries in our scope.
Your Qualifications
To be successful in this role you must thrive on working with HR data, standardized processes, workflows and templates. You are motivated by proactively contributing to the development of these areas from a business and optimisation angle.
We expect that you have at least 3-5 years of experience from a similar role as e.g. an HR generalist, HR administrator, HR consultant or similar, preferably from a global company where you have gained a solid toolbox within Italian labour law legislation and payroll. Candidates with an MSc in HR Management or a similar higher education will have an advantage.
We work with and optimize our processes and workflows through digital systems and therefore you need to be digitally savvy in general. Experience from working with Workday or another HRM system as well as with payroll data, is a strong asset.
Supporting businesses locally and cross-border requires strong language skills and thus fluency in Italian and English, written as well as oral, is a must. Spanish language skills are highly desirable whereas other language skills e.g. Portuguese, French, Dutch and/or German would be a benefit but is not a requirement.
On a personal level you are positive by nature, a patient and persistent team player with a very structured approach to task solving as well as a constructive and service minded approach to customers, stakeholders and colleagues.
