Personal Assistant to the CEO – World Health Labs
World Health Labs is seeking a highly dedicated and resourceful Personal Assistant who is willing to relocate up to 12 months per year to support our CEO.
This role requires a proactive, adaptable, thick-skinned, and highly organized individual who can manage multiple responsibilities, ensuring the CEO's personal and professional life runs seamlessly.
Position Overview
The CEO leads a very high-paced life prioritizing business growth, fitness / nutrition, health and sleep.
The ideal candidate will be on call 24/7, be able to travel to Italy, the United States, Canada and other parts of the world, with the CEO as their top priority.
Key Responsibilities
Wellness & Lifestyle Management
Meal preparation & nutrition support, including grocery shopping, meal prepping, and cycling bike support.
Bike maintenance – clean and maintain the CEO's bicycle, handle mechanic visits, and manage cycling gear.
Health Record Management
Consolidate health records across 4+ countries, ensuring information is not fragmented.
Coordinate regular physio, massage, chiro appointments; negotiate, book, and manage billing.
Personal & Transportation Support
Provide personal transportation for errands, appointments, and small weekend trips.
Run miscellaneous personal errands efficiently and proactively.
Track and receive deliveries and online purchases.
Guest Management & Hospitality
Prepare the home for guest visits, ensuring a clean, welcoming environment.
Greet and assist guests; coordinate accommodations or itineraries for out-of-town guests.
Handle any special requests or hospitality-related needs with professionalism and discretion.
Schedule & Logistics Coordination
Calendar management – work with logistics teams to keep the calendar accurate and up to date.
Schedule and confirm appointments, personal engagements, and business meetings.
Proactively identify and resolve scheduling conflicts.
Household Management & Vendor Management
Regular household cleaning and upkeep; ensure the home is well maintained at all times.
Coordinate minor maintenance tasks and vendor services.
Ensure all household supplies are stocked and organized.
Supervise scheduled home maintenance, cleaning services, or special projects.
Digital & Administrative Tasks
Track ongoing projects and assigned tasks to ensure efficient completion.
Manage email follow-ups, research, and digital organization.
Handle administrative errands such as filing paperwork, submitting reimbursements, or booking travel.
Ideal Candidate Profile
Highly organized, detail-oriented, and able to multitask in a fast-paced environment.
Fluent in English; preference for Spanish or Italian.
Discreet, trustworthy, and able to handle sensitive information professionally.
Strong communication and problem-solving skills.
5+ years PA experience, preferably with meal prep, bike house management, guest management, and schedule coordination.
Valid driver's license and passport required.
Work Schedule
Tuesday – Friday:
8 hours (subject to extension if needed)
Saturday & Sunday:
Not scheduled.
