Finance + Administrative Manager – Based in Italy
Proenza Schouler is seeking a highly skilled Finance + Administrative Manager to oversee all financial operations and administrative functions for the Italian subsidiary based in Scandicci (FI), Italy. This is a critical role responsible for ensuring compliance, managing day-to-day financial tasks, and supporting the efficient functioning of the local office.
Responsibilities
* Manage daily accounting operations and ensure accurate monthly GL entries, including banks, payroll, tax, intercompany transactions, revenue, cost accruals, and fixed assets.
* Prepare and maintain financial statements for the Italian SRL in accordance with local GAAP and US parent requirements
* Lead budget preparation, monthly variance analysis, and reforecasting.
* Produce ad-hoc management reports to support business decisions.
* Perform gross margin and inventory analysis at both local (Italy) and group level.
* Maintain and update standard cost data.
* Reconcile monthly bank transactions and initiate bank payments to vendors and employees.
* Maintain strong relationships with banks and credit institutions; handle credit facility applications if needed.
* Ensure timely and accurate VAT reporting (monthly, quarterly, yearly) and maintain VAT registers for both the Italian SRL and the fiscal representative.
* Coordinate year-end inventory counts and perform reconciliations.
* Liaise with statutory auditors, fiscal consultants, payroll providers, and transfer pricing consultants, providing necessary data and support.
* Stay up to date with Italian and EU regulations, ensuring full compliance; draft internal procedures as needed.
* Maintain and update statutory books as required by law.
* Act as the primary liaison with vendors, managing payment terms and resolving issues.
* Monitor and process monthly timesheets for payroll preparation for external Payroll consultant to prepare wage slips.
* Act as the local point of contact for HR administrative activities in collaboration with the global HR team.
* Ensure compliance with local labor laws and employment regulations.
Qualifications
* 5-7 years relevant experience in a similar Finance & Administrative Manager role is preferred
* Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
* Experience coordinating with external consultants (fiscal, payroll, audit, transfer pricing) and working in a multinational or cross-functional environment is beneficial.
* Mastery of Italian GAAP; basic knowledge of US GAAP is an advantage.
* Strong knowledge of Italian fiscal and VAT regulations, including experience with filings and compliance.
* Proficient with ERP/accounting systems (RLM a plus) and advanced Excel.
* Ability to lead a team and manage HR-related tasks for a small, multi-department workforce (approx. 6 people).
* Highest level of proactivity, reliability, honesty, and professionalism is mandatory.
* Strong problem-solving skills and a can-do attitude.
* Demonstrated adaptability and open-mindedness in dynamic or changing environments.
* Strong organizational and communication skills, with the ability to work independently and cross-functionally.
* Professional and high level of spoken and written English is required.
* Fluency in Italian is mandatory.
