In the role of F&B Coordinator at Grand Hotel Timeo you will provide support to the Food & Beverage Manager and the F&B department in daily administrative and operational activities. This role will contribute to maintaining operational efficiency and upholding the hotel's service standards.
Responsibilities
* Manage internal and external correspondence and communications for the F&B department.
* Maintain archives of documents, contracts, suppliers, and departmental files.
* Prepare reports, analyses, and presentations as requested by the F&B Manager.
* Create and manage Purchase Orders (PO) for Food & Beverage procurements, including follow‑up.
* Assist in scheduling and managing F&B staff shifts, ensuring adequate coverage.
* Coordinate special guest requests and dietary preferences, communicating them to kitchen and service teams.
* Support inventory management and verify supplier deliveries.
* Monitor and ensure compliance with hygiene and sanitation standards (HACCP) and operational procedures.
* Manage and coordinate reservations for restaurants and bars, responding to guest inquiries and ensuring proper organization.
* Act as a point of contact between the F&B department and other hotel departments.
* Participate in F&B department meetings, taking notes and distributing minutes.
* Maintain effective communication with staff.
Requirements
* Previous experience (minimum 1-2 years) in an administrative or coordination role, preferably within the F&B sector of luxury hotels or high‑end restaurants.
* Excellent knowledge of Italian and English (spoken and written); a third language will be considered a plus.
* Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with F&B management systems (e.g., POS, inventory management software).
* Good organizational skills, time management, and attention to detail.
* Strong communication and interpersonal skills.Ability to work effectively under pressure.
* Proactive attitude and a problem‑solving approach.
* Flexible working hours, including availability to work weekends and holidays if required.
