We are seeking a Receptionist & Office Management Specialist to ensure a smooth and professional operation of our front desk and daily office activities. As the first point of contact for visitors, clients, and suppliers, you will play a key role in representing the company and supporting an efficient and welcoming workplace environment. Direct reporting line to the Managing Partner.
Main Responsibilities
- Manage the switchboard, welcome guests, and oversee all front desk activities.
- Handle incoming/outgoing mail and coordinate national and international couriers.
- Support office management tasks: ordering supplies, coordinating maintenance, managing office spaces.
- Organize meeting rooms, coordinate logistics, and liaise with vendors.
- Provide administrative support, including document management and basic reporting.
- Collaborate with other departments on events and internal logistics.
- Draft emails and internal/external communications in English.
Requirements
- Previous experience as a Receptionist and Front Office Assistant
- Strong command of English (B2/C1 level).
- Excellent communication skills, professionalism, and customer focus.
- Strong organizational skills and attention to detail.
- Good knowledge of MS Office 365 tools.
- Ability to work independently and manage multiple priorities.
