We are looking for an Administrative Secretary to join our Milan office and support our Administrative and Finance team during a maternity cover period.
Key Responsibilities:
* Open and close projects and perform periodic checks with Business Units.
* Enter offers and manage administrative data in the system.
* Monitor client payments and follow up on overdue invoices.
* Manage advances, invoice settlements, and related accounting entries.
* Maintain and update administrative databases (Excel).
Suppliers & Tenders:
* Support supplier management and payment processes.
* Prepare documentation for third‑party withholding taxes and tax credits.
* Support the tender office with data entry and qualification documents.
Reporting & Office Support:
* Prepare monthly reports for financial forecasting.
* Manage archives, documentation, and basic office logistics.
Tools:
* Business Cube (strong plus)
* Arxivar
* KronosApp
Qualifications:
* At least 5 years of experience in administrative roles.
* Working knowledge of English.
* Strong organizational skills and attention to detail.
* Confidence with Excel and administrative systems.
* Ability to easily commute to Moscova, Milan.
