BACK OFFICE & SECRETARY – COSMETICS INDUSTRYMilo Milano Srl, a company operating in the cosmetics industry, is looking for a Commercial Back Office & Secretary to provide comprehensive operational, administrative, and organizational support to the office and daily business activities.
Responsibilities:
handling incoming and outgoing communications (phone, email, correspondence)
managing calendars, meetings, and internal and external communications
coordinating follow-ups after meetings and agreed actions
carrying out commercial back office and secretarial activities
providing administrative support to the sales team
preparing documents, reports, and presentations
filing and archiving documents and overseeing proper information flow
coordinating office suppliers and services (office maintenance, cleaning, servicing, security)
organizing and ensuring the smooth day-to-day operation of the office and shared spaces
ordering office supplies and overseeing office equipment
monitoring contracts, deadlines, and related documentation
receiving and sending courier shipments
collaborating with internal departments and the international headquarters
Requirements:
Knowledge of Polish is considered a plus
Previous experience in a similar role is required
strong organizational skills, accuracy, autonomy, and a proactive mindset
