The United Nations Humanitarian Response Depot (UNHRD) is a network of strategically located hubs established to support humanitarian organizations and the broader international community in responding to emergencies and crises. UNHRD provides essential services such as storage, easy access to critical supplies and technical assistance. /ppThe position holder will work under the supervision of the Logistics Officer Head of System and will support the Business Transformation Support (BTS) Unit in UNHRD business services through ERP‑related processes and administrative support. /ph3The Role /h3pThe incumbent will contribute to the enhancement of UNHRD business services by supporting ERP‑related processes and administrative functions. The role involves assisting with data management, documentation and coordination tasks to ensure efficient service delivery. The incumbent will also contribute to the development and maintenance of standard operating procedures and knowledge tools supporting the team in delivering accurate, timely and reliable information for operational use. /ph3Key Responsibilities (not all-inclusive nor exhaustive) /h3ulliGather information with clear direction to support the drafting of documents and preparing reports by other staff. /liliRespond to queries and escalate where appropriate in order to provide a timely and accurate service to clients. /liliSupport processing and managing routine administrative and financial tasks in various functional areas to contribute to the effective and timely management of resources. /liliProvide revision and proof‑reading services for standard documents to contribute to the development of accurate documentation. /liliTake responsibility for the maintenance of set standard systems and files to ensure information is accurate and readily available for the function. /liliIdentify simple discrepancies in statistics and data such as missing information and report to senior staff in order to support clients to deliver their work. /liliTake responsibility for data integrity to facilitate availability of accurate information in corporate systems. /liliProvide guidance on routine business support methods and practices to junior colleagues to ensure services are delivered consistently and to the required standards. /liliWork with a variety of individuals taking on feedback where appropriate to assist in business support delivery for staff. /li /ulh3Other Post Requirements /h3pThe following tasks will be performed under the supervision of the relevant officer and / or of other senior colleague. /ppSupports core UNHRD activities by performing centralized tasks within the WFP ERP system to enhance service delivery. Contributes to system integrity in UNHRD service delivery by running periodic data reports monitoring network activities and conducting random checks in the WFP SAP‑based ERP system. Support the Head of Unit in promoting good system practices by maintaining a knowledge repository for reference learning and operational support. Assist in monitoring the activities performed by Customer Service and Logistics Assistants across the UNHRD Network and step into the role during major emergencies as needed. Perform other tasks as assigned based on operational needs. /ph3Essentials /h3pExperience in using relevant office equipment and computer software packages such Microsoft 365 (ERP system SAP‑based preferable, SaaS Software as a Service platform). /ppKnowledge of work routines and methods in order to complete processes under minimal supervision. /ppUses tact and courtesy to give and receive information to a wide range of individuals. /ppAbility to identify data discrepancies and rectify problems requiring attention. /ppAbility to offer guidance or basic on‑the‑job training to more junior staff. /ph3Desirables /h3pExperience working in an international organization. /ppExperience working in multi‑cultural teams and environments. /ppSoft Skills to also take into consideration: Problem solver client oriented to support external services. /ph3Qualifications and Experience /h3h3Education /h3pCompletion of secondary school education. /ph3Experience /h3pFour or more years of progressively responsible work experience in the relative business stream with experience in general administrative work. /ppExperience in Supply chain is considered an asset. /ph3Language /h3pProficiency Level C intermediate in English language. Fluency in Italian is required.
