Role Summary We are seeking a highly organized and detail-oriented individual to coordinate all activities related to photo shoots and oversee the management of Emporio Sirenuse’s samples. This dynamic role requires a proactive professional who can seamlessly manage sample logistics, track inventory, and organize photo shoots to ensure the timely and smooth execution of creative campaigns. The successful candidate will join our Marketing team, reporting directly to the E-commerce Manager. Key Responsibilities Sample Management: - Maintain and manage the sample inventory, ensuring accurate tracking, labeling, and documentation of all items. - Oversee the receiving, organizing, and distributing of samples across internal departments. - Coordinate the shipping and receiving of samples for editorial requests, influencer campaigns, and wholesale partners. - Monitor sample conditions, ensure items are returned in good order, and facilitate any necessary repairs or replacements. - Manage an inventory database or system, ensuring all samples are accounted for at all times. Shoot Coordination: - Plan and manage the logistics of all photo shoots, including campaign, lookbook, e-commerce, and social media shoots. - Collaborate with internal teams (creative, marketing, and production) and external partners (photographers, stylists, and models) to finalize shoot schedules and deliverables. - Ensure samples are prepped, steamed, and organized for shoots, with an itemized checklist for easy access during shooting days. - Book and manage shoot locations, permits, and other logistical requirements. Communication & Coordination: - Act as the main point of contact between design, production, PR, and marketing teams for sample-related matters. - Communicate and follow up with external stakeholders to ensure timely returns and accountability for borrowed samples. - Provide updates to management on sample availability, movement, and potential delays affecting campaigns.Organization & Documentation: - Maintain a master calendar for shoot schedules, sample requests, and campaign deadlines. - Document shoot briefs, sample requirements, and production notes for each project. E-Commerce Support: In addition to core sample management and shoot coordination duties, this role will dedicate any remaining capacity to supporting e-commerce initiatives, including: - Assisting the E-commerce Manager with day-to-day tasks, such as managing the online store catalog, digital merchandising, and contributing to UX/UI improvements and CRM activities. - Planning and creating engaging content for newsletters and digital marketing campaigns. - Collaborating with the Social Media Manager to develop content for Instagram and other digital platforms. - Partnering with our digital agency to support SEO strategies and digital marketing initiatives. - Monitoring competitors and analyzing digital trends to recommend and implement innovative improvements. Key Skills & Qualifications: - University degree : Marketing, Graphic Design, PR & Communications, or a related field. - Organization: Exceptional organizational skills with an ability to multitask and manage multiple priorities simultaneously. - Attention to Detail: Ability to maintain accurate records and ensure samples are handled and tracked with care. - Communication: Strong verbal and written communication skills to collaborate with internal teams and external vendors. - Problem-Solving: A proactive, solution-oriented mindset to address logistical challenges. - Tech Proficiency: Proficient in Microsoft Office (Excel, Word, PowerPoint). Experience with graphic design software (Adobe Suite, Canva) is strongly preferred. - Fashion Knowledge: Understanding of fashion processes, including collections, styling, and photo shoot production. - Flexibility: Comfortable with tight deadlines and last-minute adjustments during campaigns.
