Recruitment & Staff Operations Coordinator

About the role
We are looking for a highly organised, proactive and reliable person who can become a stable point of reference for recruitment and operational management of Bell Beyond's English-speaking staff.
This is not a purely administrative or clerical role.
It requires ownership, the ability to manage high volumes of work, confident use of digital tools, and a strong sense of responsibility for the department's results.
Key responsibilities
Recruitment & onboarding of English-speaking staff
- Managing the entire recruitment process for tutors, actors and teachers, following structured workflows
- Screening high volumes of applications, including reviewing video presentations
- Managing candidate communications, follow-ups and interview coordination
- Sending job offers and managing confirmations
- Collecting, checking and managing contracts and required documentation
- Continuously monitoring application numbers to ensure recruitment targets are met
Staff operations & staff care
- Coordinating staff arrivals and departures
- Acting as a main point of contact for English-speaking staff during their stay in Italy
- Managing daily communications and resolving simple but urgent operational issues
Staff accommodation management (Bell Flat)
- Full management of check-in, check-out and occupancy
- Monitoring bed availability and organising additional accommodation when required
- Managing keys, self check-in (lock box) and staff welcome
- Coordinating cleaning services and managing linen (internal washing of bed linen)
- Ensuring staff follow apartment rules and standards
- Monitoring consumption (heating, supplies, stock)
- Checking the apartment condition at every staff change and managing any damages
Skills & requirements Essential requirements
- Excellent spoken and written English (daily working language)
- Strong organisational and prioritisation skills
- High confidence with digital tools, email, databases, workflows and tracking systems
- Ability to work with high volumes and under pressure
- Strong problem-solving skills
- High level of responsibility and autonomy
Nice to have (not required)
- Knowledge of Italian
- Previous experience in recruitment, operations, staff coordination or hospitality
- Experience in dynamic and/or international environments
Working hours & flexibility
The role is office-based.
Availability to travel may be required, depending on operational needs.
