Job Description:
Purpose of the Job: The Administration & Reporting Assistant provides administrative support to the Elnòs Shopping Centre Team to enable them to succeed in their jobs and cooperate with partners. The Assistant participates in various business projects and initiatives to help the team work effectively in a positive team spirit.
Who You Are:
* Must have formal registration as a Protected Category as required by L.68/99 art. 1.
* 1-2 years of experience in administration and/or customer service, preferably in an international environment.
* Proficient in managing large amounts of data using Excel and MS Office.
* Strong communication and support skills.
* Precise, reliable, with good time management.
* Motivated by teamwork, collaborative, supportive.
* Ability to communicate in Italian and English at an intermediate level.
Day-to-Day Responsibilities:
* Lead and participate in projects supporting the Shopping Centre's goals, such as community engagement.
* Coordinate information flow and improve administrative procedures.
* Organize meetings: booking rooms, preparing agendas, creating presentations, and taking minutes.
* Support administrative tasks: updating lists, managing documents, onboarding new staff, purchasing office supplies.
* Manage systems and respond to inquiries, both internal and external.
* Greet visitors and answer calls.
* Maintain office equipment, meeting rooms, and staff facilities.
* Assist with specific assignments like safety, cash management, invoicing, procurement, and reports.
Additional Info:
Contract: Permanent, full-time (40 hours/week) for Ingka Centre.
Location: Administrative offices at Elnòs Shopping Centre, Roncadelle (BS).
