Our organization, made up of bright young engineers and professionals from all over the world, is constantly growing, and we are now looking for a meticulous and organized Document Controller to join our team.
The Document Controller plays a pivotal role in supporting project execution through the structured and traceable management of technical and contractual documentation. This position ensures that all documentation—both internal and external—is properly registered, version-controlled, archived, and accessible to stakeholders. The role also contributes to establishing document workflows and standardization aligned with company procedures and quality requirements.
Key Responsibilities:
Document Management & Tracking
Maintain and update the Master Document List (MDL) to ensure all documents are registered, traceable, and accessible in consultation-only mode.
Ensure accurate coding, folder structure, and archiving in the designated shared folders.
Guarantee document compliance with naming conventions and versioning rules.
Workflow Oversight
Implement and follow internal procedures for document issuance, circulation, approval, and archiving.
Monitor workflows from/to Vendors and Clients to ensure timely document exchange in line with the project schedule and Purchase Orders (POs).
Ensure all transmittals are issued and archived appropriately.
Quality & Template Compliance
Verify that all outgoing documents include the correct cover page and template, aligned with internal standards.
Ensure that document templates—both internal and external—are properly maintained and used.
Follow-up & Coordination
Conduct proactive follow-up with internal stakeholders (Project Engineers, Technical Disciplines) to ensure timely document creation, review, and approval.
Interface with Vendors and Contractors to request documentation according to deadlines.
Highlight any delays, inconsistencies, or non-compliance.
Additional Duties
Support the implementation and management of the company’s Document Management System (DMS or EDMS).
Act as an internal and external point of contact for matters related to Document Control.
Contribute to defining, updating, and improving document control procedures.
Ensure document control compliance with company quality standards and audits.
Preferred Requirements & Qualification:
Proven experience in document control within industrial/engineering/construction projects.
Excellent organizational skills and attention to detail.
Familiarity with document coding systems, DMS/EDMS platforms, and structured file management.
Strong communication and coordination abilities.
Working knowledge of English (spoken and written).
Familiarity with ISO quality standards related to document management.
