As
Office & Accreditation Assistant
you'll support accreditation and office management activities within a global international project. This position ensures the accuracy of participant data collection and verification, the correct issuance of badges, and full compliance with access policies, contributing to the smooth running of operations and coordination with the various teams involved (security, HR, logistics, sports/events).
Responsibilities
* Collect and verify personal data and documentation from participants, staff, contractors, etc.
* Support in the use of accreditation systems/software (data entry, updates, badge printing).
* Assist in implementing accreditation policies (eligibility, categories, access levels).
* Prepare and print ID cards / badges with correct access rights.
* Liaise with security team to align badge access rules with venue entry.
* Coordinate with HR, logistics, or sport/event functional areas to receive updated lists.
* Escalate issues to Accreditation Manager when needed.
* Keep accurate logs of all badges issued/returned.
* Prepare daily/weekly statistics of accreditations delivered.
* Support post-event wrap-up (archiving, deactivation of passes).
Qualifications
* Degree administration, communication, or equivalent
* 1-2 years of experience in similar roles (Office Manager, Executive Assistant, Administration)
* Previous experience in international and multicultural environments
* Languages: fluent Italian required, plus English and/or French
* Strong organizational skills, autonomy, proactivity, and excellent interpersonal abilities
* Accuracy, reliability, and attention to detail, even under pressure
* Team spirit and adaptability in evolving contexts
* Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
* Ability to multi-task, organize, and prioritize work
