About the Role
We're looking for a Senior Executive Assistant to support the CEO. This person will combine operational excellence with discretion, proactivity, and strong judgment. You'll manage communications, calendars, and key administrative processes, while also supporting strategic projects, relationships, and events.

This role requires someone who is highly organized, detail-oriented, and resourceful—able to anticipate needs, thrive in a fast-paced, high-growth environment, and help unlock the CEO's time and focus.

You Will:

Manage and prioritize all communications for the CEO (email, social media, and other channels), ensuring timely and accurate responses, acting as a primary point of contact with internal and external stakeholders.

Own calendar and time management:
schedule meetings, appointments, and travel, continuously prioritizing and re-prioritizing to align with strategic goals.

Support relationship management by maintaining and organizing contacts, coordinating networking opportunities, and assisting with investor and fundraising-related communications and materials.

Handle confidential and personal matters for the CEO (appointments, family-related activities, and other sensitive tasks), always maintaining discretion and trust.

Coordinate projects and events, partnering with internal teams to ensure timely task delivery, track key initiatives, support relationships with investors, partners, and customers, and keep the CEO informed on progress and deadlines.

Provide financial oversight related to the CEO's activities: track expenses and budgets, ensuring accuracy and cost-effectiveness.

Conduct research and reporting to support special projects, potential hires, partnerships, and business opportunities; synthesize insights into clear, concise summaries and metrics.

Prepare and refine documents, presentations, and meeting materials, including agendas, briefing docs, and follow-up notes, ensuring the CEO is fully prepared for each engagement.

Identify and implement process improvements to streamline workflows, propose better systems, and proactively resolve issues to keep operations running smoothly.

About You:

Must-Haves:
5+ years of experience as an Executive Assistant or in a similar role, supporting senior leadership.
High level of agency, proactivity, and ownership.
Excellent communication and organizational skills.
Comfortable working in a fast-paced, changing environment and a company in transition.
Ability to think independently, make decisions, and anticipate needs.
Strong alignment with the culture and working style of the CEO and leadership team.

Your Background:

Proven experience in administrative or executive support, ideally reporting directly to senior leadership in a fast-paced, growth-oriented, or startup environment.

High proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Slides), PowerPoint, Excel, Canva, Airtable, Notion, Slack, and QuickBooks (or similar tools).

Excellent written and verbal communication skills in English, with strong attention to detail and professionalism.
Strong organizational and planning skills, with the ability to handle multiple priorities, manage time effectively, and meet deadlines.
High level of discretion, integrity, and judgment when handling confidential information.
Comfortable working remotely and independently, with a proactive, \"no task too small, no challenge too big\" attitude.

Bachelor's degree in Business Administration or a related field preferred; background in Project Management or Industrial Engineering is a plus.

Nice to Have:
Experience supporting CEOs or founders in early-stage or high-growth startups.
Prior exposure to eCommerce, SaaS, or data/analytics companies.
Experience helping with fundraising, investor relations, or board communications.
Experience improving or implementing operational processes and tools for executives or small teams.

Compensation & Benefits:
Competitive salary in USD
100% remote – work from LATAM with overlap with US working hours.

Paid Time Off (PTO):
15 days of paid time off per year.
U.S. public holidays (typically 10–12 days/year), paid and not deducted from PTO.
