Gifrab Italia SpA, a historic leader in the Fashion Retail sector, is seeking a Secretary and General Services Assistant. The ideal candidate comes from structured environments, possesses high professional skills related to the role, and is capable of managing secretarial activities effectively to facilitate the work of company management, assisting in daily functions and providing organizational and operational support.


Responsibilities include:

1. Ensuring effective filtering for company management
2. Facilitating the management of executives' schedules
3. Preparing correspondence and documentation requested by management
4. Managing and archiving incoming and outgoing correspondence
5. Managing the informational flow to other company functions and externally
6. Managing digital archives
7. Performing reception duties and welcoming guests
8. Receiving and directing calls to the appropriate recipients
9. Efficiently managing some general services activities within budget limits
10. Managing the budget for purchasing office and retail materials and their distribution
11. Organizing meetings and preparing necessary arrangements
12. Managing shared spaces, ensuring proper setup and equipment
13. Carrying out company errands as needed
14. Managing company credit cards
15. Organizing business trips, including flight bookings, car rentals, hotel reservations, and payment management


Requirements:

* At least 3 years of experience in a similar role within a structured company
* Strong educational and cultural background
* Excellent skills in secretarial activities, general services, and business travel management
* Proficiency in IT tools and software
* Fluent in spoken and written English
* Previous experience as an Executive Assistant to a company executive is a plus

The ideal candidate should have a strong interest in the fashion industry, excellent organizational and time management skills, outstanding communication and interpersonal skills, planning abilities, precision, problem-solving skills, internal customer orientation, proactivity, stress management, and the ability to operate in demanding environments. Residence in the province of Palermo is required.
