Job Description
We are looking for an experienced and driven Office Manager who will play a pivotal role in ensuring the smooth and efficient functioning of our office. The ideal candidate will have a proven track record of managing office operations, excellent organizational and communication skills, native Italian language with English and Chinese languages also, and the ability to contribute to our company's growth.
Responsibilities:
Office Operations Management:
* Oversee day-to-day office operations, ensuring a productive and organized work environment.
* Manage office supplies, equipment, and facilities to ensure a seamless workflow.
* Collaborate with relevant teams to maintain a clean and inviting office space.
Administrative Support:
* Provide administrative support to senior management, including scheduling meetings, managing calendars, and handling correspondence.
* Provide sales support in Hubspot, customer communications, preparation of quotations customer related documentation, mail shots, liaise with marketing Germany.
* Coordinate travel arrangements and prepare expense reports for team members.
Vendor and Supplier Management:
* Liaise with vendors, suppliers, and service providers to ensure timely delivery of goods and services.
* Negotiate and manage vendor contracts to optimize cost-efficiency.
Financial and Budget Management:
* Assist in managing office budgets and financial records.
* Process invoices, track expenses, and reconcile financial transactions.
HR Support:
* Assist in HR functions such as onboarding new employees, maintaining personnel records, and coordinating employee events.
Communication and Coordination:
* Serve as a point of contact between internal teams in Italy, the European Headquarter in Gilching, Germany and Global Headquarter in Shenzhen, China.
* Facilitate effective communication within the office and with remote team members.
Qualifications:
* Bachelor's degree in Business Administration or a related field.
* Proficiency in English and Chinese (speak and write) is required.
* Proven experience as an Office Manager or in a similar administrative role.
* Strong organizational and multitasking skills, with keen attention to detail.
* Excellent written and verbal communication skills.
* Proficient in Microsoft Office Suite and office management software.
* Ability to work independently and proactively solve problems.
* A high level of professionalism and confidentiality.
* Flexibility and adaptability in a fast-paced environment.

Job Type: Full-time
Salary: $40,000.00 - $50,000.00Grossper year
