Your role at KIKO MILANO

We are seeking a Global Lease Administrator to join our Real Estate Team, reporting to the Global Lease Manager.

This role involves managing the lease administration system for over 850 lease contracts across 18-20 countries, requiring structured coordination, attention to detail, and collaboration with departments such as Real Estate, Legal, and Finance at both HQ and country levels.

Key responsibilities include:

1. Coordinating and managing global routines for lease contracts and appendices across all directly operated countries.
2. Ensuring timely signing and uploading of lease contracts into the system.
3. Maintaining 100% accuracy of key data (e.g., expiry dates, break clauses, notices) aligned with physical contracts.
4. Collaborating with Real Estate, Legal, and Finance teams to ensure data consistency and reliability.
5. Providing guidance and training to local teams on data entry and system use.
6. Monitoring and improving lease administration routines and proposing process improvements.
7. Reviewing and securing payments related to leases, facilities, and construction at HQ.
8. Supporting rent budgeting and forecasting processes.
9. Understanding accounting timelines and routines for payment cycles.
10. Presenting data and summaries quarterly to stakeholders and management.
11. Monitoring external suppliers and tracking KPIs for landlords, facility managers, and vendors.

Qualifications for success:

* Minimum of 5 years' experience in lease administration, contract management, or similar roles in retail.
* University degree in Law, Business Administration, or equivalent.
* Familiarity with accounting tools such as SAP.
* Fluency in English.
* Excellent organizational and analytical skills.

* Strong communication and interpersonal skills.
* Ability to work independently, manage multiple priorities, and proactively solve problems.
* A collaborative and solution-oriented approach.
