Events Assistant (Volare Vitae) Are you organised, creative, and excited about supporting the delivery of international events?At Volare Vitae, we provide high-quality event and logistics support to EU-funded projects across multiple regions. We are looking for an Events Assistant to join our team and contribute to the successful planning and execution of workshops, conferences, and high-level meetings.
What you'll do:Assist in planning and coordinating events (workshops, conferences, meetings, study visits)Support preparation of event agendas, participant lists, and coordination materialsLiaise with venues, service providers, and suppliers to ensure smooth event deliverySupport participant communication, including invitations, registrations, and follow-upsAssist with travel and accommodation arrangements for speakers and participantsPrepare event materials (presentations, badges, agendas, visibility items)Provide on-site or remote support during events, ensuring smooth coordinationSupport post-event activities, including feedback collection and reportingEnsure compliance with EU visibility and branding requirements
Organised, detail-oriented, and able to manage multiple deadlinesComfortable working in a fast-paced, international environmentStrong communication skills in English (additional languages are a plus)Proficient in MS Office; experience with event tools/platforms is an advantageExperience in event organisation, administration, or logistics is an assetProactive, flexible, and solution-oriented mindset
