The Personnel Administration Specialist plays a key role for the payroll administration of all Italian and international employees under the different local laws. She/He is also responsible for Time & Attendance matters in the different countries, managing the various time systems and external consultant relationships.
The person will be a point of contact, under the supervision of the Payroll Manager, for all the employees in Italy and in the Subsidiaries (France, UK, Germany) on administrative matters and queries.
For this role, it is mandatory to have a good English knowledge as the person will be in contact with international employees.
Good communication and collaborative skills as well as ability to work in team are requested.
This position deals with external payroll agencies, personnel consultants and external agencies.
Responsibilities
Management of time (clock-in and out, holidays, time off etc..) in the different countries and using different time management systems (ADP-Workday)
Support the payroll process management and preparation for the different countries
Manage the relationship with external payroll providers in the different countries
Support in all the administrative matters related to time, benefits, absences
Support in the termination process management
Manage the administration process related to benefits (shares, insurances, welfare etc.)
Documentation management (employees requests, contract management, declarations etc.)
Manage relations with external agencies for administrative topics
Person of reference within the organization with reference to the Pension, Heathy Insurances and other benefits, depending on the Country
Employee Data Management within the HR systems used within the company
Support in some HR reporting activities ( ex KPI )
If necessary, involvement in local or international HR processes working together with the other HR team members
Qualifications
Master's degree or equivalent
3-4 years of experience in personnel administration (payroll and time) preferably in structured and international companies
Good English skills (reading, writing and speaking) mandatory
French and /or German knowledge would be appreciated
Good usage of MS Office, especially Excel
Workday knowledge appreciated
