Job SummaryWe are seeking a highly organized and proactive Executive Assistant to Management to support our senior leadership team. The ideal candidate will have excellent administrative, communication, and problem‐solving skills. This role requires a high level of professionalism, discretion, and the ability to handle multiple tasks in a fast‐paced real estate environment.
Key Responsibilities
Provide high‐level administrative support to senior management, including scheduling meetings, managing calendars, and coordinating travel arrangements.
Prepare reports, presentations, and correspondence on behalf of the management team.
Conduct research and compile data to support decision‐making processes.
Assist in managing real estate transactions, including documentation, contract tracking, and follow‐ups.
Liaise with internal teams, clients, and external stakeholders to facilitate smooth communication.
Handle confidential information with utmost discretion.
Organize and maintain digital and physical filing systems.
Coordinate and oversee special projects and events as required.
Monitor deadlines and follow up on action items assigned by the management team.
Educational Qualifications
Master's degree in business administration, real estate, management, or a related field (preferred but not always required).
Additional certifications in office administration, executive assistance, or project management can be a plus.

Professional Experience
3+ years of experience as an Executive Assistant, Administrative Assistant, or Personal Assistant (preferably in the real estate industry).
Experience handling confidential information and working closely with senior executives.
Familiarity with real estate operations, contracts, and documentation is an advantage.
Professional Certifications (which can substitute for a degree)
Certified Administrative Professional (CAP) – by IAAP (International Association of Administrative Professionals)
Executive Assistant Certification – by various professional organizations
Project Management Certification (PMP or CAPM) – beneficial for managing tasks efficiently
Real Estate License or Certification – if assisting with property transactions
Technical & Soft Skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.
Strong verbal and written communication skills for dealing with internal teams and external stakeholders.
Exceptional organizational and multitasking abilities to handle multiple priorities efficiently.
High level of discretion and professionalism when handling sensitive company information.
Ability to work independently, manage deadlines, and take initiative in a fast‐paced environment.
Problem‐solving mindset with strong attention to detail.
Familiarity with real estate terminology, CRM software, or financial reports is a plus.
