To assist in a fast-paced and vibrant creative environment, we are looking for a full-time bilingual Executive Personal Assistant to the Owner, based at the company’s head offices in Florence.
The ideal candidate is highly organized, discreet, and resourceful, with strong negotiation and problem-solving skills. A refined sense of taste, style, and structure is essential to thrive in this dynamic role.
What You’ll Do
- Be the Right Hand: Provide seamless one-to-one support to the Owner across both professional and personal matters, ensuring priorities are managed with precision and care.
- Orchestrate the Schedule: Manage calendars, appointments, and meetings, ensuring smooth coordination across a fast-moving agenda.
- Master the Journey: Plan, book, and oversee all travel arrangements — from flights and accommodation to logistics and itineraries.
- Connect the Dots: Serve as the main point of contact between the Owner and internal teams, clients, and external partners, maintaining clear and professional communication at all times.
- Source & Negotiate: Conduct research and sourcing for products, suppliers, and services, handling negotiations and procurement with efficiency and discretion.
- Protect What Matters: Handle confidential information with the utmost integrity, sensitivity, and professionalism.
Who You Are
- You bring at least 3 years of experience as a Personal Assistant to a senior executive, thriving in fast-paced, dynamic environments.
- Fluent in English and Italian, you express yourself with clarity, elegance, and confidence — both in writing and speech.
- You excel at multitasking, time management, and prioritization, effortlessly managing multiple deadlines.
- You remain composed under pressure and can quickly adjust to last-minute changes or unexpected needs.
- You have an excellent sense of style and aesthetic judgement, aligning naturally with the creative and luxury world.
- Proficient in Microsoft Office, Google Suite, and comfortable managing data, budgets, and digital communication tools.
- You’re confident in securing the best outcomes while maintaining professionalism and positive relationships.
- You anticipate needs, solve problems proactively, and operate with full discretion and reliability.
