The Role: Executive Office Assistant (Rome)
As our Executive Office Assistant, you will be crucial to the smooth administrative and logistical functioning of the Rome office, providing high-level support to the local management and legal teams.
Key Responsibilities:
- Administrative & Clerical Support: Provide comprehensive administrative and clerical support to the Partners and legal teams, including document preparation, accurate filing, and managing office supplies.
- Scheduling & Coordination: Manage complex calendars, schedule internal and external meetings (including video conferences), and coordinate local appointments, travel, and reservations as needed.
- Communication Hub: Handle incoming and outgoing correspondence (mail, couriers, and digital communication), ensuring all matters are directed to the appropriate party with speed and discretion.
- Office Management: Oversee the organization and tidiness of common areas and meeting rooms. Act as the primary point of contact for external vendors (IT, maintenance, etc.) to ensure a high standard of office functionality.
- Client & Visitor Coordination: Assist with the professional and warm greeting of clients and visitors, ensuring seamless meeting arrangements and adherence to office protocols.
Working Schedule & Contract
- Expected Schedule: Full-time presence in the office is required, from 10:30 to 19:30 daily.
- Contract: We offer a stable and attractive position with a permanent, full-time contract (tempo indeterminato).
Qualifications & Skills
- Experience: Proven work experience as an Executive Assistant, Office Manager, or similar support role, preferably within a fast-paced corporate or international legal environment.
- Professionalism & Discretion: Exceptional professional presentation, demeanor, and a proven ability to handle confidential information with the utmost discretion.
- Language Fluency: Excellent written and verbal communication skills. Fluency in both Italian and English is essential ; proficiency in other languages (e.g., Spanish or French) is a strong plus.
- Organizational Mastery: Solid organizational and time-management skills with the ability to manage multiple priorities simultaneously and effectively prioritize tasks under pressure.
- Technical Proficiency: Advanced proficiency in the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Attitude: A proactive, helpful, solution-oriented, and client-focused mindset.
