What you will do As Executive Assistant in the CEO Office at Doctolib, you will play a key support role to the Italian CEO - who is also leading the International Expansion team and other global streams for the Group - and his first line. You will be working directly with the CEO Chief of Staff and collaborating with numerous teams (strategy, marketing, operations, legal, HR), getting exposure to the main strategic streams for the company. As Executive Assistant, you will: Plan and manage the complex, ever-changing agendas of the CEO and the Italian VP to maximize their impact through effective time management, priority setting, and organizational support; Partner with the Leadership Team, acting as point of reference across teams, ensuring full alignment, follow-ups, and execution of agreed actions; Drive seamless organization of meetings (make sure agenda is set and preparatory material is collected on time), internal events (in collaboration with our office manager), and business trips, ensuring every detail is covered; Deliver excellent communication and hospitality by managing inquiries, welcoming visitors, and leading key projects; Perform quality control and pre-validation procedures, from administrative processes (expenses approval, signature checks) to ad-hoc material (communications, presentations and other documents); Support day-to-day Executive Office operations and handle ad-hoc tasks and projects.
