Job overview Main duties & responsibilities include managing renewal payments in collaboration with patent offices and local suppliers, ensuring timely processing and accurate recording within the renewal operating system, and maintaining payment infrastructure with PTOs. The role also involves monitoring confirmations, addressing payment rejections or discrepancies, and ensuring customer data is handled with care. Responsibilities Responsible for the timely planning and processing of all bulk payments directly with PTOs and local suppliers by following the payment order release dates established within the renewal operating system. Responsible for the timely planning and processing of all ad hoc payments directly with PTOs and local suppliers by following the payment order release dates established within the renewal operating system. Monitor and track all PTO and local supplier payment order confirmations within timelines set forth. Chase PTOs and local suppliers for outstanding payment order confirmations within timelines set forth. Review and verify all confirmed payments and archive the respective statements. Ensure that “Payment Completion” is recorded for each renewal confirmed as per processes set forth. Maintain payment ledger and collaborate with Finance. Prepare monthly budget forecast for deposit account top-ups to be approved by Director of Renewals. Understand and maintain payment infrastructure with PTOs. Collect and upload Renewal Receipts to renewal operating system. Identify and clarify any payment rejections and discrepancies; collaborate with Service Account Manager to notify the customer so appropriate actions can be taken. Stay up to date on official fee changes and renewal regulations. Ensure the highest level of care when working with client data. All other duties required to complete the role to the highest standard. Ensure compliance with policies and procedures and report risk to your supervisor where identified. Key Deliverables Prompt and accurate handling of all tasks assigned. Understanding of task-tracking and urgency. Exceptional project management skills. Ability to master the renewals processing platform. Experience & Skills A minimum of five (5) years of experience as an IP renewal payment specialist in the IP industry or a similar function required. Finance background is a plus. High-level attention to detail and excellent command of numbers and calculations. Understanding urgency and escalation procedure. Good communication skills. Exceptional time management skills.
