What the Role Delivers
As a Customer Service Specialist, you will play a key role in ensuring seamless end-to-end execution of customer service and commercial activities. You’ll manage the full-service order lifecycle—from contracts and pricing to order entry through delivery, billing, and revenue recognition—while delivering an exceptional customer experience.
In this dynamic role, you’ll collaborate closely with internal teams including Commercial, Finance, Logistics, and Operations to ensure accuracy, efficiency, and compliance with company and export regulations. You’ll also act as the main point of contact for customers, ensuring their needs are met with professionalism, precision, and a strong sense of ownership.
K ey ResponsibilitiesIn order of relative importance
Work with digital tools in place at Agrofresh to capture ongoing applications.
Upload data from external Excel sources.
Use of Excel Macros (as an end user) to revise data prior to final load into ERP (SAP S4 HANA)
Create orders in SAP and complete deliveries, execute shipments and monitor Stock consumption / Inventory depletion.
Export – Service and Product ordering
Create orders and close administrative follow-up with the “Operation team”.
Be able to manage Intercompany orders
Contracts: Rebates, commissions and billing plan
Manage and finalize contracts in SAP (Season pass, Rebates, commissions) including DOA follow up (DOA = Delegation of Authority / proper signer of contracts with relevant authority)
End of year reconciliation: total volume, final price, stock, amount of commission to be paid.
Prices set up in ERP with discounts.
Invoices creation and distribution (multi-channel, print, email…)
Sales adjustments (credit and debit notes) with DOA component for Approval
Support Audit requests
End of month activity
Reporting orders not invoiced for internal blocks so they can be accrued.
Master Data
Customer Master data creation (Payer/Sold to/ Ship to)
Work closely with Credit Management team in Philadelphia for appropriate Payment terms and Credit limits set up on each account.
Support to an allocated commercial team
Interface between the sales team, customers and different departments of the company,
Sales report to your sales team and customers,
Manage any ad hoc requests from your sales team and our customers.

What the Job Requires
Fluent in English and Italian
Second language is required: French or German
SAP S4HANA or equivalent ERP.
Proficiency in Order to cash tools, Power query, power BI etc. tools used in the supply chain management
Proficiency in Excel
What to Have Done and Know How to Do
These skills and experiences are highly desirable; however, they do not preclude exceptions based on an individual’s performance history and demonstrated potential.
Proven experience in Customer service with cross-functional Order to Cash processes.
Significant experience in Export (product and service).
e-invoicing (SDI for Italy)
Strong communication skills both written and oral
Autonomous, multitasking, well organized and capable of providing accurate feedback.
Ability to work under changing agenda priorities and highly seasonal activities within set deadlines.
