General: In conjunction with the entire team, Property Manager ensures that all the clients properties are all kept in top condition all year through, in a manner that the properties may be enjoyed to the fullest by the owners and their guests. Operations management:
1.Be key keeper and central point of contact to the property;
2.Regularly check client property on all aspects as listed in the Property check list;
3.Detect any issues or problems and flag them to the person responsible to handle;
4.Instruct on the spot any staff or supplier working at the property for installing work, carrying out repairs, etc;
5.Steer permanent maintenance staff (e.g. gardener, cleaning staff, pool assistance) on a continuous basis to the desired results within time and budget (e.g. checking worked hours for salary slips). Purchase management:
1.Identify any issues, missing items or required new investments at the property;
2.Ask for a quote with a trusted party for the replacement, repair or installing of the required item;
3.Check if the quote fits within the property budget and/or ask for approval by client;
4.Order the required item;
5.Ensure that SU Accounting & Control officer or Client receives the invoice for payment;
6.Organize correct delivery and eventually installing of the ordered item. Guest management:
1.Pre check the property before arrival of the guest based upon the SU occupancy list;
2.Be available by telephone for guests shortly before arriving at the property (regarding time of arrival, any issues, problems, etc);
3.Welcome guests upon arrival and give some first guidelines on how to use the property referring to the property guide (check in);
4.Be available during the stay of people at the property for any query related to the property;
5.Handle the solution of any issues/problems via the responsible person;
6.Be present upon departure of guests, check if the property is left in a proper state, settle any damages if occurred (check out). Reports, updates and evaluations:
1.Regularly report, at least once a month, to the Client about the status of the property;
2.At least annually evaluate the status of the property including its financial budget and suggest where necessary structural improvements to the property;
3.Give input to SU Accounting & Control officer for the annual update of the property budget;
4.Give continuous input to update the online property guide. Filing: In conjunction with other team members ensure that the digital/paper archive/folder of the property is updated, maintained and kept for 5 years. **Language**: - english (required)
