Job Overview
We are looking for an HR Administration Specialist who will be responsible for the administrative management of employees, supporting all activities related to the employee and consultant lifecycle. This role works closely with external labor consultants and employment lawyers, ensuring compliance with labor laws and collective bargaining agreements.
Key Responsibilities

* Manage the full employee and consultant lifecycle, including drafting and administering employment contracts (extensions, transformations, probation periods, renewals, amendments, and terminations) and preparing agreements for consultants and external collaborators, in collaboration with external employment lawyers.
* Ensure full compliance with labor laws, applicable CCNLs, and construction-sector regulations; manage documentation required for audits and inspections; oversee processes related to work permits and visas where applicable.
* Coordinate with the payroll and labor consultant/provider to ensure accurate and timely payroll processing, mandatory filings, and the correct application of tax and social security contributions.
* Monitor and manage the time and attendance system (working hours, overtime, site allowances, vacation, leave, sickness, and absences) and validate employee expense reports in collaboration with Administration/Finance, ensuring compliance with company policies.
* Oversee the management of severance pay (TFR) and administer company welfare and benefits programs (health insurance, supplementary pension schemes, flexible benefits), acting as the internal point of contact for related matters.
* Manage and update HR databases and the internal HR platform (e.g., Bizneo), ensuring data accuracy, compliance, proper document archiving, and supporting the digitalization and optimization of HR processes.
* Prepare HR reports (headcount, absenteeism, turnover, personnel cost analysis), monitor personnel costs in collaboration with Finance, and support HR budgeting and workforce planning activities.
* Implement and monitor HR policies and procedures, support internal HR and compliance communications, act as the main point of contact for employees on administrative matters, and assist the People & Culture Director in organizational and compliance-related projects.
Requirements
* Bachelor’s or Master’s degree in Law, Human Resources or a related field.
* Minimum 5 years of experience in HR administration roles.
* In-depth knowledge of labor laws, HR administration, and payroll processes..
* Knowledge of Italian collective labor agreements for the Construction sector (CCNL Edilizia - CONFAPI) and/or for Professional Firms (CCNL Studi Professionali – CONSILP) is required.
* Previous experience in the Engineering and Construction sector is considered a plus.
* Strong proficiency in Microsoft Office and HR software (time tracking, expense management).
* Good command of English (written and spoken).
* Highly organized, detail-oriented, autonomous, and able to interact effectively with internal and external stakeholders.
