We are looking for a Spare Parts Supply Coordinator to join our Asset Management Team.
In this role, you will manage the end-to-end supply flow of spare parts, ensuring seamless stock transfers, inventory accuracy, and efficient coordination with end users.
Your role is central to maintaining supply continuity and supporting service excellence across our network.
You work closely with production, warehouses, service partners and internal teams to keep parts available and optimize inventory levels and return flows.
Your responsibilities include executing stock transfers, monitoring SAP processes, managing partner inventories, and streamlining return flows, all with an emphasis on operational accuracy and efficiency.
Your ability to manage multiple logistics processes, maintain high data accuracy and drive continuous improvement will be key to your success in this position.

Responsibilities
Stock Transfer Processing & ExpeditingExecute and monitor stock transfers from production and kitting areas to hubs, service partners, and other destinations
Expedite urgent transfers and resolve blockers preventing timely shipment
Coordinate with warehouses and logistics teams to ensure on-time delivery
Track shipment status and provide visibility to internal stakeholders
Inbound Process Monitoring & SAP ManagementMonitor inbound deliveries and complete SAP transactions where needed
Handle non-conformities, such as missing parts, damaged deliveries, or quantity discrepancies
Perform stock corrections and adjustments in SAP to maintain inventory accuracy
Collaborate with suppliers and internal teams to resolve inbound issues promptly
Service Partner Stock ManagementSupport in managing service partners' spare parts inventory levels
Manage replenishment processes to ensure adequate stock availability
Coordinate the return of slow-moving or excess parts from service partners
Analyze consumption patterns and optimize stock allocation
Return Flow Monitoring & OptimizationMonitor returns for broken and unused parts from the field
Trigger and execute the transfer of unused parts back to standard storage locations for reuse
Ensure proper handling and documentation of returned materials in SAP
Identify opportunities to reduce waste and improve reverse logistics efficiency
Performance Analysis & Continuous ImprovementTrack KPI related to stock accuracy, transfer times, and return processing
Identify root causes for process inefficiencies and implement corrective actions
Drive cross-functional initiatives to optimize supply chain processes and operational excellence
Background / Qualifications
Degree in Management Engineering OR minimum 2 years of experience in warehouse operations, logistics, or supply chain coordination
Strong knowledge of ERP systems (SAP4HANA)
Excellent organizational skills and attention to detail
Strong problem-solving abilities and analytical mindset
Fluency in English and Italian
Ability to work under pressure and manage multiple priorities simultaneously
Customer and service-oriented mindset
Knowledge of spare parts management and service operations is a plus
Proficiency in Windows-based systems and Microsoft Office suite (especially Excel)
Proactivity, teamwork skills, problem-solving attitude, and goal-oriented mindset
