**Personal Assistant - Categorie Protette art.18 L.68/99** Join our client’s **elite team** in Rome, supporting key activities for **European space programmes**. The company is a **long-standing partner** of major **space institutions**, with deep expertise in **IT systems**, **operations** and **engineering support** for **ground segment infrastructures**. We are looking for a motivated **Personal Assistant - Categorie Protette art.18 L.68/99** who is eager to develop their career in a **dynamic, international environment** and provide **high-level support** to **senior European executives**. A minimum **B2 English level** is required. **YOUR TASKS**:
In this role, you will support **two senior executives** with **European responsibilities (Space Managing Director and Business Development Director)**, ensuring **smooth operational coordination** and acting as a **trusted organisational partner**. Your tasks will include: - Managing **complex calendars**, **priorities**, and **scheduling** for two senior leaders. - Organising **international and domestic travel** arrangements, **logistics**, and **documentation**. - Preparing, proofreading, and coordinating **documents**, **presentations**, and **sensitive communications**. - Supporting executives during **European leadership meetings** (3-4 in-person events per year). - Ensuring effective **follow-up** on **actions**, **deadlines**, and **internal workflows**. - Acting as the **point of contact** between senior leadership and internal/external stakeholders. - Coordinating **meetings**, **agendas**, and **minutes**; ensuring timely distribution of materials. - Handling **confidential information** with **discretion** and **professionalism**. - Managing **administrative tasks** related to **office organisation**, **internal processes**, and **executive support**. - Providing **ad-hoc support** based on organisational needs, with **flexibility** when executives are travelling. **YOUR SKILLS AND EXPERIENCE**: - Registration under **Categorie Protette art.18 L.68/99** (mandatory). - Proven experience in **administration or** **executive assistance**, **office management**or similar roles. - Strong **organisational**, **prioritisation** and **multitasking** skills. - Excellent **communication skills** and **high attention to detail**. - Professional proficiency in **English (B2 minimum)**; knowledge of an **additional European language** is considered an asset. - Ability to work effectively in a **fast-paced**, **international**, **multicultural environment**. - **Discretion**, **reliability** and a **proactive mindset**. - Strong **digital** and **document-handling skills** (MS Office and collaboration tools). - **Flexibility** in adapting working presence onsite when required for **executive needs** or **events**. **EXTRA INFORMATION**:
**Location**: Rome (**Anagnina Area**), Italy
**Contract**:Full-time**, **permanent**
**Work location**:Hybrid** in a **secure** and **international environment** (2 days onsite + flexibility to increase onsite presence based on organisational needs)
**Start**: Not later than **31/12/2025**
**Travel**: Approx. **3-4 short trips per year** for **European leadership meetings** (not required to travel with executives on all their trips).
