During a phase of rapid growth and organizational structuring, we are strengthening our internal functions and are looking for a Personnel Administration Specialist professional to support HR and personnel cost–related administrative activities.
Job Overview
The Personnel Administration Specialist role is responsible for managing employee administrative processes and supporting accounting activities related to payroll and personnel costs. The position plays a key role in ensuring accuracy, compliance, and structured processes as the company continues to scale.
Role and Responsibilities
Personnel Administration & Payroll
- Manage the administrative lifecycle of employees (hiring, contract changes, extensions, terminations)
- Manage attendance, absences, leave, permits, sickness, and related documentation
- Manage pension funds enrollment and variations
- Act as the main operational interface with the labor consultant
- Collect, verify, and transmit payroll data
- Review payroll slips and manages discrepancies
- Record payroll and payslips in the accounting system
- Manage salary payments and bank transfers
- Manage meal vouchers (ticket restaurant)
- Manage and report company welfare programs
- Handle expense reimbursements and business travel reporting
- Prepare and update monthly headcount reporting
- Manage mandatory employment communications
- Maintain personnel documentation in compliance with GDPR and data privacy regulations
- Support basic administrative and accounting activities, including journal entry recording and monitoring of labor costs, in coordination with the Finance and HR functions.
- Degree in Economics, Business Administration, or related fields
- Up to 5 years of experience in personnel administration and payroll-related roles
- Knowledge of labor law and payroll processes
- Basic knowledge of accounting principles related to personnel costs
- Good command of English (written and spoken)
- Proficiency in Excel and HR/payroll management tools
- High level of confidentiality, precision, and reliability
- Proactive, flexible, and well-organized approach to work
