The Role
Vanity Fair Italy is seeking an enthusiastic Editorial Assistant. As part of the Editorial team based in Milan, this role will work along with the Managing European Editor to ensure the success of projects involving the Editorial Team and, specifically, the European Editorial Director & Editor in Chief of the brand. The role requires excellent organisational skills, high attention to detail and the ability to work efficiently under tight deadlines in a fast paced environment.
Primary Activities
* Coordination with press offices and external partners for travel arrangements, events.
* Conducting archival research to support editorial activities and preparation for interviews.
* Management and distribution of editorial content, including coordination of syndicated articles and sending article copies to clients, partners, and suppliers.
* Creation, maintenance, and distribution of mailing lists for editorial, institutional, and event-related communications.
* Management of the EiCr’s agenda and email inbox, including scheduling, daily reminders, and coordination of appointments.
* Organization of travel and business trips for the EiC and the Editorial team, including bookings, on-site logistics during events, festivals, and interviews, and management of short-term accommodation contracts when required.
* Handling of accreditations for the EiC and the editorial team for events, festivals, and industry gatherings, maintaining relationships with event organizers.
* Administrative support activities, including preparation and submission of expense reports and general operational support to senior management.
Primary Skills & Qualifications
* 2+ years of proven experience in Executive or Personal Assistance roles, with strong organizational and time-management skills and the ability to handle multiple priorities simultaneously.
* Professional working fluency in Italian and English, written and spoken. Fluency in French and Spanish will be considered as a plus.
* Excellent communication and interpersonal skills, with the ability to interact professionally with senior management, press offices, clients, and external partners.
* High level of discretion and reliability in handling confidential information and sensitive matters related to the Director and the organization.
* Strong attention to detail and problem-solving skills, particularly in managing travel logistics, event coordination, and administrative tasks.
* Good knowledge of digital tools and office software (Gmail, Google Workspace Suite, expense reporting systems), as well as the ability to conduct efficient archival and online research.
* Passion for the Editorial and Fashion industry.
