You'll excel in collaborating across departments, at all levels, supporting the sales and administrative activities of the Italian offices, Italian Management team and staff. The role will be exposed to confidential information and reserved company data that should be handled appropriately.Administrative Support / General Activities
General office administration (telephone contact, ordering of office supply, contact with cleaning company, landlord)Document shipments: arrange pick up, create documents + instruction for shipment, provide tracking detailsArrange repair and cleaning services for Lam officeVisitor entrance point of contact, update visitors listGeneral meeting organizational supportAdministration support for account supervisors & managerFinance support (check incoming invoices, support internal approval process and distribute appropriately, follow up on reminders)Tracks upgrades shipping, lead time progression, etcUpdates Safety Folder – sends out reminders of due dates
Sales Support Activities
Issue standard quotations / purchase orders (PG/CSBG systems)Manage NSR processes (submission, approval, quotation updates)Ensure compliance with internal procedures for the review and approval of quotations and contractsPerform necessary checks with relevant stakeholders to ensure correct system configurationsSubmit specifications (SPECs)Create and update CRM entries and ensure alignment with the Account ManagerIssue technical support quotationsCreate and process required service orders in SAPCreate contracts in SAPRelease invoices for contractual billing / paid servicesCreate ADM requests and forward them to the Account Manager for further completionMaintain and update the reference pricing fileProvide sales and service support to prepare and update sales and service quotations in accordance with sales team instructions and procedures for regional customers

Who We're Looking ForQualified school certificates and/or related business administration, commercial or technical education. 2–3 years' experience in an administrative, secretarial, or sales support required.Preferred Qualifications
