About the Client:
The client is a premier real estate firm serving Southeastern Wisconsin, Lake Country, and the Greater Milwaukee area
The company leverages high-production content including 4K video, aerial footage, and 360-degree tours combined with targeted digital distribution
The business is in a high-growth phase, actively expanding across Wisconsin and into the Alabama market
About the Role:
This is not a traditional data-entry or basic VA role
The Real Estate Operations Manager will act as a systems architect and right-hand partner to the owner
The role bridges the owner's big-picture ideas with execution by fully owning back-office operations
Primary focus areas include CRM and systems management, database retention, recruiting support, and operational execution
The ideal candidate works independently, solves problems proactively, and protects the owner's time by managing execution and priorities
Key Responsibilities
Own and manage all back-office operations so the owner can focus on production and recruiting
Manage and optimize CRM systems including Lofty, Follow Up Boss, and Go High Level
Ensure data accuracy, workflow automation, and system integrity across all platforms
Assist with landing page creation in Go High Level and setup of automated market reports and email templates in Lofty
Execute proactive database retention initiatives including follow-up calls, texts, birthday messages, and past-client outreach
Prepare Comparative Market Analyses (CMAs) using MLS, ATTOM Data, and insights from lead and database conversations
Execute marketing initiatives by turning the owner's ideas into action, including postcard campaigns and client events
Support recruiting and expansion efforts, particularly in Alabama, through personalized outreach, DM management, and follow-ups with agent prospects
Fully manage the recruitment calendar, ensuring dedicated prospecting time and seamless interview scheduling
Provide light transaction coordination support including MLS data entry, photo organization, and basic form completion
Manage the owner's inbox and calendar, track KPIs such as deal flow and pipeline stages, and act as a professional buffer for routine inquiries
Qualifications & Skills
Proven experience in executive administration, operations, or similar roles
Real estate industry experience is a strong plus
High proficiency with CRM platforms, specifically Lofty and Go High Level, with the ability to optimize systems independently
Exceptional written and verbal English communication skills
Spanish proficiency is a strong bonus to support expanding markets
Highly proactive, self-directed, and comfortable driving systems and organization independently
Strong process-improvement mindset with the ability to think beyond checklists
