Role Description
This is a full-time, on-site role located in Rome for a School Extra-Activities Coordinator. The Extracurricular Activities Coordinator is responsible for the planning, organization, and operational management of the school’s extracurricular programs within an international school environment. These include after-school programs for internal students, seasonal camps (summer, winter, and spring) open to both internal and external participants, and English language courses offered to external students.
This role requires a combination of strong organizational skills, operational management, staff coordination, and a proactive approach to program development and marketing.
Key Responsibilities1. Operations Management
* Oversee the full operational cycle of extracurricular activities:
* Offer planning
* Marketing
* Students admissions
* contracts (in collaboration with HR and Finance)
2. Program Development & Planning
* Design and develop engaging educational and recreational programs aligned with an international school context
* Identify new course and activity opportunities
* Recruit and select qualified instructors and external providers
* Build schedules and structured program plans
3. Staff & Faculty Coordination
* Assign roles and responsibilities to teachers and instructors
* Develop and manage schedules
* Ensure high-quality delivery of all activities
* Be present during activities to provide supervision and operational support
4. Marketing & Promotion
* Promote programs targeted at external students
* Collaborate with Admissions and Front Office on communication strategies
* Support enrollment growth and program visibility
5. Process Optimization
* Develop and implement:
* standard operating procedures
* templates and documentation
* scalable workflows
* Improve operational efficiency and consistency
6. Internal Coordination
* Act as a key liaison between:
* HR
* Finance
* Front Office
* Admissions
* Internal and external teaching staff
* Ensure clear communication and alignment across departments
Skills & QualificationsTechnical Skills
* Proven experience in coordinating educational programs, extracurricular activities, or complex projects
* Strong administrative and operational management skills (registrations, payments, contracts)
* Experience in event or program planning
* Solid IT skills, including familiarity with Office/Google Workspace; experience with CRM or school management systems is a plus
Language Requirements
* Fluent English (C1 level or above) is essential, as the role operates in an international environment

Salary Range: €24-28.000 annual + bonus, based on experience
