NABA – Nuova Accademia di Belle Arti is seeking a highly motivated
Academic Coordination Specialist
to join its Academic Coordination Unit in Milan.
The selected candidate will report to the Academic Coordination Supervisor and will play a key role in supporting students throughout their academic journey, contributing to a high-quality educational experience and overall student satisfaction.
The role involves monitoring and coordinating academic activities in accordance with institutional procedures and best practices, providing structured operational support to Course Leaders and faculty members, and ensuring the effective delivery and smooth management of all activities related to the assigned courses.
The selected candidate will carry out the following activities:
* Take care of student welcoming activities.
* Ensure help desk activities to support students (problem-solving, information, operational support for the preparation and management of forms, elaboration of study plans, exams).
* In collaboration with the Supervisor and with autonomy, provide support to faculty members (lecturers and Course Leaders) for all matters related to the planning and delivery of academic activities, including timetable and the organization of study trips.
* Assure the correct update of NABAgest and collection of data and documentation regarding external faculty contracts, in collaboration with HR, in compliance with guidelines defined by the Dean and HR dept.
* Actively work on the elaboration of courses timetables in collaboration with Academic Processes unit and Course Leaders, as well as the registration of all courses in NABAgest.
* Ensure "student transfer" services.
* Monitor and analyze student attendance to help prevent dropouts and ensure the accurate tracking of online records, including faculty attendance and absences.
* Ensure the organization of further surveys (e.g. NPS) in order to monitor student satisfaction levels, the academic processes and compliance with the requirements of MUR.
* Identify purchase requests for equipment and office supplies.
* Participate in and support the activities of academic committees, including those focused on student transfers and articulation matters.
* Provide organizational/operational support and actively participate in public presentations (both online and in class) addressed to students, such as academic year openings and study plan presentations.
Requirements:
BA/MA in Languages, Humanities studies or Administration and/or similar.
B2/C1 level of English.
The ideal candidate has previous experience of 2/3 years in similar role.
Demonstrates a customer-focused approach, empathy and a consistently positive attitude, along with strong interpersonal skills to build effective relationships with students, parents, faculty members, and administrative staff.
Confidence in public speaking is essential.
A flexible and energetic team player, with the ability to approach challenges with a positive attitude.
Good knowledge of Excel.
Confidence in using digital tools; knowledge of Hyper planning software is a plus.
